Lapland Welcome Ltd terms and conditions for program services  2023 – 2024

Booking:

Please book the programs online or by email. Please send us names, genders, ages, nationalities and the hotel where from we can arrange the pickup. We will send our confirmation invoice and payment methods back. It is also possible to book programs in our safari office by cash or credit card but the availability is not guaranteed for last minute bookings. Especially in high seasons the most popular programs are often fully booked. We recommend very early booking.

Pricing:

Minimum number of participants is 2 persons if not mentioned otherwise. All prices are NET prices. Child price is valid for 4-14-years old if it is not mentioned otherwise.

Payments:

Bookings online are due online. Bookings by email are due 30% in one week after the booking and 70% one month before the first program, for December and January or for more than 3 programs or some special programs like ice breaker cruise 2 months before arrival. The exact due date you will see on the invoice. The reservation is confirmed only by paying the invoice in time. Unpaid or partly unpaid reservations are concerned as cancelled. For early bookings and payments we offer discount, special promo code for online booking.

Cancellations:

We keep a right to cancel the program if it is needed because of the safety or weather conditions. In this case the paid funds will be fully refunded to the payer. We also keep a right to change routing of the safari or the program itself to ensure the safety or the pleasance at the safari. In case of client’s cancellation if the cancellation comes to us as a written document or email earlier than one week before the first program 90% of the total sum will be refunded. If the cancellation comes earlier than one day before the program 50% will be refunded, later cancellations are not refundable at all. If our subcontractor’s cancellation terms are harder than ours their cancellation terms will be followed. The reservation will be 90% refunded in case of illness or injury. A medical certificate needs to be sent to Lapland Welcome within two working days from the cancellation date. In this case only the ill or injured person will be refunded unless medical certificate is received that an assisting person was necessary. In that case also the assisting person will be refunded as well 90%. For children under 18 years old one of the parents or any adult is always refunded.

In case train tickets are ordered by Lapland Welcome the refund is 50% of the ticket sum if the cancellation was done earlier than one month before the first travelling date. Later cancellations of train tickets are not refundable at all. Plane tickets are not refundable in any case.

FORCE MAJEUR CIRCUMSTANCES (Covid-19)

Force Majeur circumstances are when, at the time of customers’ departure: The Finnish borders or relevant towns/regions are closed by The Finnish government which would prevent The customer from traveling.  Cancellation terms in case of these Force Majeur circumstances: ·FITs / Individual travellers: Cancellation by 90% refund  up to 6 pm the previous day of arrival.·Groups: Cancellation free of charge up to 7 days prior arrival.

Travel insurance:

Please take a travel insurance for snow adventure sports etc. that covers all your costs if you can’t travel at all or if you are in response of whatever unexpected costs during the programs. Please be prepared to pay the driver’s liability right away at a snowmobile safari if needed and ensure that your travel insurance covers the liability. It is possible

Snowmobile driving:

The driver of the snowmobile is held liable for damages caused to the vehicle. The maximum personal liability is 900 € per person / snowmobile / accident.

The self-liability waiver reduces the amount of maximum self-liability from 900 € to 200 €. The self-liability waiver costs 50 € per driver per safari and can be bought on our webstore as an optional for our snowmobile safaris or on the spot before the safari. The self-liability waiver is personal and available for a few hours daily safaris only. On several days safaris the self liability can be 1500 euros and no waiver is available depending on snowmobiles.

In case of accident the driver pays the self liability part immediately. The snowmobile is repaired in an official garage and the bill added with transfer costs of 100 EURO will be sent to the driver. The extra part of the paid self liability will be sent back to the driver.

Safety:

The participants have to follow the briefings carefully and obey all safety and dressing instructions given by the present guide. Customers participate on all of our safaris by their own risk.

Lapland Welcome Ltd is not liable for any accidental damage or injury which has to be indemnified under the travel insurance of a customer. Personal travel insurance is always highly recommended. Program services e.g. snowmobile and husky safaris can be physically demanding and the participants may be exposed to vibrations. If the Consumer is having any type of health problems, including, but not limited to, heart disease, back problems or similar, or if the Consumer is pregnant, he/ she should contact prior the participation the medical experts to make sure whether the medical experts consider him/ her to be able or not to participate. It´s the responsibility of the Consumer to consult Lapland Welcome whether he/ she is capable to participate on health or any other point of view. Anyway you don’t need to be worried at all because the safaris are organized by very safe way.

Applicable Law and Jurisdiction:

These terms and conditions shall be governed by and construed in accordance with the Finnish Law.  The Finnish Courts shall have the exclusive jurisdiction to settle any dispute, controversy claim related to such a demand.   The District Court of Lappi (in Finnish: Lapin käräjäoikeus), placed in Rovaniemi, shall be the court of first instance.

Severability if any part, term or provision of these terms and conditions are partly or wholly held invalid, illegal or unenforceable, the validity or enforceability of other provisions, extent part and remainder of these terms and conditions shall remain in full force and effect.
